ExtraDay, LLC ("ExtraDay," "we," "our," or "us") operates the Aria AI assistant platform and related services (collectively, the "Service"), accessible at hirearia.ai and through WhatsApp. This Privacy Policy explains how we collect, use, disclose, and protect your information when you visit our website, use our Service, or interact with us through any connected communication channel.

By using the Service, you consent to the data practices described in this policy. If you do not agree, please do not use the Service.

1. Information We Collect

1.1 Information You Provide

• Account & Registration Data: Name, email address, phone number, brokerage or agency name, and website URL provided during the application process.
• Communication Data: Messages, voice notes, images (including business cards, client selfies), and other content exchanged through WhatsApp or other messaging channels.
• Contact & CRM Data: Client names, phone numbers, email addresses, property preferences, notes, and other CRM information you provide to Aria.
• Payment Information: Billing details processed through our third-party payment provider (Stripe). We do not store credit card numbers on our servers.

1.2 Information Collected Automatically

• Device & Browser Data: IP address, browser type and version, operating system, device identifiers, screen resolution, and language preferences.
• Usage Data: Pages visited, time spent on pages, links clicked, referring URLs, and interaction patterns on our website.
• Cookies & Tracking Technologies: We use cookies, pixels, and similar technologies as described in Section 6 below.

2. How We Use Your Information

We use the information we collect to:

• Provide, operate, and improve the Aria AI assistant service
• Process your subscription and manage your account
• Facilitate CRM management, property searches, email sending, and other features on your behalf
• Transcribe voice messages and process images for contact creation
• Send transactional communications (account confirmations, service updates)
• Analyze website usage patterns and optimize user experience
• Measure the effectiveness of our advertising campaigns
• Detect, prevent, and address fraud or technical issues
• Comply with legal obligations

3. AI-Assisted Communications

Aria uses artificial intelligence (powered by Anthropic's Claude) to assist real estate agents. When you use Aria, the AI may:

• Process and respond to text and voice messages
• Create, update, and manage contact records in your CRM
• Search property listings on your connected MLS website
• Compose and send branded emails on your behalf
• Transcribe voice messages and extract information from images
• Generate comparative market analyses and property valuations
• Compile and send newsletters
• Research public information about individuals

All data processed by Aria is handled in accordance with this Privacy Policy. Anthropic's AI does not use your data to train its models when accessed through our API.

4. Information Sharing & Disclosure

We do not sell your personal information. We may share your information with:

• Service Providers: Third-party platforms that help us deliver our services (see Section 5).
• Your Clients: When you instruct Aria to send emails, newsletters, or other communications to your clients, the content you provide is shared with those recipients.
• Legal Requirements: When required by law, subpoena, court order, or to protect our rights, safety, or property.
• Business Transfers: In connection with a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity.

6. Cookies, Analytics & Advertising Technologies

6.1 Google Analytics

We use Google Analytics to understand how visitors interact with our website. Google Analytics collects information such as how often users visit the site, what pages they view, and what other sites they visited before. We use this information to improve our website and marketing efforts.

Google Analytics plants a persistent cookie on your device to identify you as a unique user. This cookie cannot be used by anyone but Google. Google's ability to use and share information collected by Google Analytics is governed by the Google Privacy Policy and Google Analytics Terms of Service.

You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on.

6.2 Meta Pixel (Facebook Pixel)

We use the Meta Pixel (formerly Facebook Pixel) on our website. The Meta Pixel is a snippet of JavaScript code that allows us to:

• Track visitor actions on our website after clicking a Meta (Facebook/Instagram) ad
• Build targeted audiences for future ads based on actions visitors take on our site
• Measure the effectiveness of our advertising campaigns
• Optimize ad delivery to people who are most likely to take action

The Meta Pixel collects data such as HTTP headers, pixel-specific data (Pixel ID, cookie), button click data, form field names, and other browsing data. This data is sent to Meta and is subject to the Meta Privacy Policy.

You can manage your ad preferences on Meta through your Facebook Ad Preferences page, or opt out through the Digital Advertising Alliance's opt-out page.

6.3 Meta Conversions API (CAPI)

In addition to the Meta Pixel, we use the Meta Conversions API to send event data directly from our server to Meta. This provides more reliable data for ad optimization while respecting browser-level privacy controls. Server-side events may include form submissions, page views, and subscription sign-ups.

6.4 Cookie Management

Most web browsers allow you to control cookies through their settings. You can set your browser to refuse cookies or delete them after visiting our site. Note that some features of our website may not function properly if cookies are disabled.

7. Data Retention

• Account Data: Retained for the duration of your subscription and 90 days thereafter, unless you request earlier deletion.
• CRM & Communication Data: Retained as long as your account is active. Upon cancellation, data is available for export for 30 days before deletion.
• Analytics Data: Retained per the default retention periods of Google Analytics (26 months) and Meta (2 years).
• Server Logs: Retained for 30 days for security and debugging purposes.

8. Data Security

We implement industry-standard security measures including:

• Encryption of data in transit (TLS/SSL) and at rest
• Secure cloud hosting with SOC 2–compliant infrastructure
• Access controls that limit data access to authorized personnel
• Agent-level data isolation — each agent can only access their own CRM data
• Regular security reviews and updates

No method of electronic transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

9. Your Rights

Depending on your jurisdiction (including under CCPA, GDPR, or Florida law), you may have the right to:

• Access: Request a copy of the personal information we hold about you
• Correction: Request correction of inaccurate or incomplete information
• Deletion: Request deletion of your personal information
• Portability: Request your data in a structured, machine-readable format
• Opt-Out: Opt out of marketing communications, tracking, or data sales (we do not sell data)
• Withdraw Consent: Withdraw consent for data processing at any time

11. Children's Privacy

The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we learn that we have collected information from a child under 18, we will promptly delete it.

12. International Data Transfers

Your data may be processed in the United States regardless of your location. By using the Service, you consent to the transfer of your information to the United States, which may have different data protection laws than your country of residence.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting a notice on our website or sending you an email. The "Last updated" date at the top indicates when the policy was most recently revised. Continued use of the Service after changes constitutes acceptance of the updated policy.
